Personal Information Protection Policy

At Ten Nine Communications, Inc. we believe we have a social responsibility to properly protect the personal information we retain on registrants, employees, and other related parties in the course of conducting our interpreting, translation, staffing, and English education and support services. We have established the following Personal Information Protection Policy to fulfill this responsibility, and our directors and employees are committed to appropriately handling, managing, and safeguarding the personal information pursuant hereto.

1. Acquisition, Use, and Disclosure of Personal Information

We will not acquire or use personal information without the consent or permission of the individual concerned. Even if consent is obtained, the information will only be used within the scope of such consent and never for unrelated purposes. We have measures in place to ensure information is not acquired or used without consent. Except where required by law or where prior consent is obtained, we will not disclose personal information to third parties. In some cases, employee information may be shared with third parties indicated in a separate letter of consent.

2. Safeguarding Personal Information

We strictly manage all personal information we retain. To prevent unauthorized access, theft, loss, destruction, alteration, leakage, or other misuse of personal information, we have established and strive to maintain strict rules on the acquisition, retention, management, and destruction of personal information, and we thoroughly enforce systematic measures such as the management of IDs and passwords. Should any issues arise in relation to the handling of personal information, we will work to promptly rectify the situation and prevent recurrence.

3. Compliance with Laws, Regulations, and Internal Rules

We strive to comply with the Personal Information Protection Act and other applicable laws, regulations, and standards, as well as guidelines for the protection of personal information issued by government agencies, personal information protection policies established by authorized personal information protection organizations, and industry standards. To this end, we have formulated Personal Information Protection Regulations and Standards, and ensure thorough compliance through employee training, etc.

4. Continuous Improvement

We regularly audit the state of implementation of the aforementioned Personal Information Protection Policy and continually make improvements to our Personal Information Protection Regulations and Standards.

5. Complaints and Inquiries

We will respond promptly, sincerely, and appropriately to any complaints or inquiries concerning the handling of personal information.

3.Purpose of Use (Personal Information Subject to Disclosure)

We acquire personal information for the following purposes in relation to our business activities:
• Employee information: for attendance and labor management.
• Job applicant information: for recruitment activities.
• Information from persons requesting materials or making inquiries: for responding to inquiries and measuring advertising effectiveness (including the use of third-party software such as Google Analytics), and for advertising, promotional, and marketing activities in relation to our services via email, telephone, or other means (including information on new features and updates to our services, introductions to our other businesses or services, and information on related seminars, campaigns, and events).
• Service applicant information: for the provision of requested services.
• Interpreter/translator applicant information: for the introduction of employment opportunities, etc.
• Course participant information: for the provision of English education and support services.

4.Rights Concerning Personal Information

A) Point of Contact for Inquiries
Individuals have the right to request notification of the purpose of use, disclosure, correction, addition, deletion, suspension of use, erasure, or suspension of third-party provision of their personal information. Upon receiving such a request, we will verify the individual’s identity and respond within a reasonable period.

B) Procedure for Requesting Disclosure, etc.
Individuals wishing to request disclosure, etc. must send a completed Application Form for Disclosure of Retained Personal Data to the above-stated point of contact by post.

1) Verification of Identity
To confirm the identity of the individual, we will request two or more items of personal information that can be verified against the personal data already registered with us (e.g., telephone number, date of birth).

2) Requests Made by a Representative
If the request is made through a representative, in addition to the identity verification described above, we require submission of a copy of one of the documents listed in a) below to verify the right of representation, and a copy of one of the documents listed in b) below to verify the identity of the representative.

a) Documents that verify the right of representation
i) If the representative has been authorized by the individual to make the request: a power of attorney authorization letter.
ii) If the representative is a legal guardian of a minor: a certified copy of the family register, a certificate of residence stating the relationship between the representative and individual requesting disclosure (without the inclusion of My Number), or other official documentation proving legal guardianship.

iii) If the representative is a legal guardian of an adult ward: a certificate of registered matters concerning guardianship or other official documentation proving legal guardianship.
b) Documents that verify the identity of the representative
(Please ensure that information other than the prefecture of domicile and all My Number digits are redacted before submission)
• Copy of driver’s license
• Copy of passport
• Copy of health insurance card (with the insurer number (記号) and personal number (番号) fully redacted with a black pen)
• Certificate of residence (without inclusion of My Number)
• Copy of My Number card (only the side that does not contain the representative’s My Number)
C) Fees for Disclosure Requests
1) An administrative fee of 1,000 yen will be charged per request for notification of purpose of use or disclosure.
2) Fees must be paid by enclosing a postal money order for a fixed amount when mailing the application form.

Name, emergency contact details, and career history within the scope of consent.

Electronically or verbally.
D) Third Party Recipients
The third parties to whom we provide personal information are clients who require such information to achieve the purposes agreed to by the person concerned. Whenever possible, we execute agreements concerning the handling of personal information with our clients before provision. However, in cases where provision is required in accordance with instructions from government agencies, etc., information may be provided without executing such an agreement.

5. Outsourcing Work Involving the Handling of Personal Information

We may outsource work that involves the handling of personal information to an operator deemed to have met certain requirements concerning the protection of personal information. We may provide employee information to third parties indicated in a separate letter of consent.
